We will never ask for sensitive information via email or through our website.
LAMVCF will never request sensitive personal or financial information through email or online forms.

Please do not share account numbers, wire instructions, or private data through email.

We also do not host any forms on our website designed to collect sensitive information.

We will not share fund information without proper identity verification.
When a fund is established at LAMVCF, authorized fund advisors are identified in our records.

We will only discuss or share fund details with those designated advisors.

If you need to update authorized contacts, please reach out to our staff to complete the proper documentation.

Use of Artificial Intelligence (AI) Tools as Related to Donor Privacy and Data Protection Policy

The Los Altos Mountain View Community Foundation (“LAMVCF”) may use artificial intelligence (“AI”) tools to enhance operational efficiency, communications, research, and administrative functions. However, LAMVCF remains fully committed to protecting donor confidentiality, personal information, and sensitive organizational data.

LAMVCF does not sell, trade, or share donor information. This commitment applies equally to any data processed through AI-assisted systems.

Protection of Donor and Confidential Information
LAMVCF will not input confidential donor information, including but not limited to:

• Donor names (unless already publicly disclosed)
• Contact information
• Giving history or pledge information
• Financial account details
• Investment data
• Personally identifiable information
• Confidential grant recommendations
• Sensitive personnel information

into publicly available AI platforms or tools that may store, reuse, or train on submitted data.

Where AI tools are used in connection with internal systems, LAMVCF will:

• Use secure platforms with documented privacy safeguards
• Limit data inputs to the minimum necessary
• Ensure human oversight of outputs
• Maintain compliance with applicable privacy laws

At all times, donor confidentiality and fiduciary obligations take precedence over convenience or efficiency.

Human Oversight and Accuracy
AI-generated materials may be used to assist with drafting, editing, summarization, or research. However:

• All AI-generated content must be reviewed and approved by a LAMVCF staff member before distribution.
• AI tools may not be relied upon for legal, financial, tax, or investment advice.
• LAMVCF retains full responsibility for the accuracy, integrity, and appropriateness of all communications and materials.

Ethical and Responsible Use
LAMVCF recognizes that AI tools may generate incomplete, inaccurate, biased, or inappropriate results. Staff and volunteers must exercise professional judgment when using such tools and ensure outputs align with LAMVCF’s mission, values, and ethical standards.

Preference will be given to AI tools that demonstrate transparent data practices and clear privacy protections.

Meeting Transcription and Recording
AI meeting assistants may only be used with advance notice and participant consent. Such tools may not be used in executive sessions or discussions involving confidential donor, personnel, legal, or financial matters without explicit authorization.
